Registration

Public or gated landing pages with capture fields that map directly to CRM Lead or Contact records. Automated confirmation emails fire on registration, plus configurable reminders at 24h, 1h, and 10min before start. The registration form supports custom fields, conditional logic (e.g. “Are you evaluating?” → reveal “Timeline?” field), and UTM passthrough for source attribution. Embed the form on your own site via JavaScript snippet, or use the hosted Zoho landing page if you don’t have a CMS. Approvals are available for invite-only events.

Broadcast

Live or pre-recorded streaming with up to 3000 attendees on the Enterprise plan and 250 on the lower tiers. Q&A, polls, and chat are built into the attendee console. Practice Mode lets the host and panelists rehearse without notifying registrants — use it 30 minutes before every live event. The simulive feature plays a pre-recorded video at scheduled time with live chat overlay; useful for evergreen webinars where the host monitors chat without re-presenting. Recording captures both the broadcast and the chat transcript.

Engagement Tools

Polls during the session, Q&A queue (organizer-moderated or open), hand-raising, and reactions emoji. Capture attendance duration to segment your follow-up — someone who watched 45 of 60 minutes is a hotter lead than someone who joined for 4. The Engagement Score combines poll responses, Q&A submissions, and watch time into a single number you can sync to CRM as a lead score adjustment.

CRM Sync

Attendees and registrants sync to Zoho CRM as Leads or Contacts based on email match. Score adjustments flow into the lead score field. Trigger follow-up sequences via Workflow Rules — e.g. registered-but-no-show gets the recording link, attended-full gets the sales call invite. Mapping is configured under Setup → Integrations → Webinar; the default maps webinar registration fields to standard Lead fields, but custom fields need explicit mapping.

Analytics

Attendance rate (rule of thumb: 40-50% of registrants attend live), engagement metrics, drop-off points by minute mark, and poll/Q&A response counts. Use drop-off data to refine future webinar content — a sharp dip at minute 22 usually means a slide is dragging. Export CSV for analysis or push to Zoho Analytics for trended views across multiple events.

Cost Considerations

Zoho Webinar is included in Zoho One but capped at 100 attendees on lower bundles. Standalone plans run from the entry tier (25 attendees) to Enterprise (3000). Compare against Zoom Webinars and ON24 by attendee cap and CRM integration depth — Zoho’s CRM tie-in is its main advantage; Zoom wins on raw scale and broadcast quality.
