Tasks and Milestones

Hierarchical tasks under milestones with dependencies that create order and assignees with due dates. The hierarchy goes Project → Milestone → Task List → Task → Subtask, four levels deep. Use Task Lists to group work by phase or workstream — they’re the unit Gantt rolls up to and the unit reports filter on. Recurrence supports daily, weekly, monthly, and custom (e.g. every second Tuesday). Custom Status lets you replace the default Open/In Progress/Closed with workflow-specific labels like “Awaiting Client Review” or “Blocked on Legal”.

Gantt Charts

Visual timeline with drag-to-adjust dates, cascading dependencies, and critical path highlighted in red. Four dependency types are supported — Finish-to-Start (default), Start-to-Start, Finish-to-Finish, Start-to-Finish — but most teams use only FS. The Baseline feature snapshots the original schedule so you can show variance later. Resource Utilization view layered on Gantt prevents over-allocation. Note: Gantt does not handle non-working days per resource well — a holiday in India still shows the resource as available, so cross-region teams need a manual workaround.

Timesheets

Log hours against tasks, with approval workflows and billing reports for client projects. Timer mode runs in the browser tab; manual mode lets you backfill the week on Friday. Approval flows go to the project manager, then optionally to a finance reviewer. Billable vs non-billable is per-task — set it on the task definition, not at log time, to keep reports clean. Export to Zoho Books or Invoice for invoicing pulls the rate from the user’s billing profile.

Client Portal

External stakeholders see project status without buying a license — the client portal is included with paid Projects plans. Bounded access: clients see tasks, milestones, documents, and forums you’ve shared, nothing else. Useful for agency-client engagements. The portal is white-labelable on Enterprise; logo, colors, and subdomain are configurable.

Reports and Dashboards

Pre-built reports cover task status, milestone health, resource workload, and timesheet summaries. Custom dashboards combine widgets from multiple projects — useful for portfolio views. The Earned Value Management module (Enterprise only) tracks Planned Value, Earned Value, and Actual Cost for projects with budget tracking turned on.

vs Sprints

Projects for traditional, waterfall, or hybrid PM. Sprints for agile teams running 2-week iterations with backlog grooming. Many shops run both — Projects for the construction or implementation team, Sprints for engineering. Both share the Zoho One identity layer, so users move between them without re-login. Don’t try to force agile work into Projects’ Gantt — you’ll fight the tool every sprint.

Common Failure Modes

Over-detailed task hierarchies (5+ levels of subtasks) make Gantt unreadable and timesheet logging painful — keep nesting to three levels max. Stale “In Progress” tasks distort burndown; archive completed projects quarterly.
