The data center you sign up in is where your data lives, full stop. Zoho offers cross-DC migration but it’s a paid, scheduled, weeks-long project — not a setting toggle. Pick the right one before signup.

The integration accounts URL, API base URL, and admin console URL all change based on your DC.

Choose By Customer Location, Not Yours

The right DC is wherever your customers’ data legally has to live. A US-headquartered company serving EU customers should be on the EU DC. Reverse the question: “If a regulator audited where this prospect’s email address is stored, where would they need it to be?”

What Residency Doesn’t Cover

Data residency means primary storage. It does not mean:

  • Backups don’t replicate cross-region (some do, ask Zoho explicitly).
  • Email delivery doesn’t transit other regions (it might, depending on the recipient).
  • Third-party integrations honor your DC (they often don’t).

If you need true data sovereignty, audit each integration’s data flow separately.

Cross-DC Account Limitations

A single Zoho One account is bound to a single DC. If you have customers in two regions with different residency requirements, you need two separate Zoho accounts — and federating users across them is non-trivial. Plan for this on Day 1 if it might apply.

Migrating DCs

Zoho’s official cross-DC migration:

  • Takes 4-8 weeks end to end.
  • Requires a freeze period.
  • Re-issues all OAuth credentials.
  • Doesn’t migrate some integration metadata (rebuild it).

It’s a project, not a ticket. Avoid by picking right at signup.

Sub-Processor Awareness

Zoho’s sub-processor list differs slightly by DC. For GDPR documentation, pull the EU-specific sub-processor list, not the global one. Same for India’s DPDP Act.

What to Do This Week

  1. Map where your top 100 prospects are headquartered.
  2. Cross-check that against your current Zoho DC.
